The law firm Barone-Vogt Rechtsanwälte faced — like many law firms — the challenge of making client intake more efficient and error-free.
The previous process was characterized by:
- Paper forms and multiple manual data entries
- High error rate in data capture
- Time lost due to missing signatures and lengthy return processes
- Additional administrative effort when transferring data to the firm’s case management software and accounting system
This meant: A lot of effort for the firm – and for the clients as well.

- End-to-end automation from the intake form to the accounting system

Implementation
Together with Mr. Davide Barone, LL.M., a fully digital process was developed:
Clients enter their data via an online intake form. Documents and powers of attorney are signed digitally in a legally secure manner. All data undergoes an automatic plausibility check. After the client confirms their approval, the data flows automatically into the firm’s case management software, RA-Micro. One form is even publicly accessible, creating transparency for clients.
A tablet is available at the firm for data entry, further accelerating the process. All information not only flows into RA-Micro but is also sent via email.
Additionally, an Outlook integration was implemented for the lawyers:
- Appointments, deadlines, and follow-up actions are automatically captured and synchronized
- This ensures that no deadlines are overlooked and the risk of errors is minimized
